Work Pattern / Hours: 20 hours per week (2.5 days per week)

Role Context

Love Your Neighbour (LYN) equips and empowers churches across the UK to play their part in the transformation of society during the COVID-19 period by providing emergency food provision, money advice, employment training and other assistance to those most in need.  In our context in Crawley, the LYN initiative involves a hub of over 130 volunteers delivering these services within the community. As well as building and developing opportunities with organisations such as CAP, Easter Team and Spear. Crawley has been hit hard economically following Covid-19 and it is the vision of Love Your Neighbour Crawley to support and be the bridge to enable people to get back on their feet.

Role Purpose

Volunteers are an essential and valued part of the project. The role of the Volunteer Co-ordinator is to manage the team of volunteers supporting the LYN Hub in Crawley. It is the role and responsibility of the Volunteer Co-ordinator to recruit, train and manage volunteers. The role requires excellent organisation and good communication skills combined with a high EQ and ability to work with people from all walks of life.

This role will report into the Hub Manager, who is line managed by St John’s Crawley but part of a wider project of Churches working together. At the moment these churches are Crawley Community Church, Crawley Baptist Church, St Andrew’s Church Furnace Green and Elim Church Crawley.


Key Responsibilities

Volunteer Co-ordinator responsibilities will include but are not limited to the below;

Recruitment and training

  • Assesses organisational and programme needs to determine number and range of volunteers needed for the project
  • Consults with colleagues to create descriptions for all volunteer positions
  • Manages volunteer recruitment and hiring process by advertising for available volunteer positions, interviewing candidates, and matching them with appropriate roles
  • Prepares training materials for new volunteers, including handbooks, programmes, and documents relevant to their role (i.e. food hygiene for café team)
  • Creates and distributes information regarding volunteer policies and procedures

 

Scheduling and day to day management

  • Monitors volunteers during their appointments to retain and/or replace candidates.
  • Maintains a database of volunteers and projects and tracks metrics
  • Presents updates and metrics to colleagues and leadership team in weekly reports.
  • Scheduling volunteers onto a rota, being flexible to accommodate changes
  • Promotes the organisation, its volunteer efforts, and its accomplishments internally and externally
  • Responsible for escalating any disclosures made to management, either about volunteers or by volunteers about engagements with the public

 

Volunteer wellbeing and development

  • Meets with volunteers to assess their progress and satisfaction, as well as to conduct performance evaluations or skills audits
  • Cultivates a positive and supportive atmosphere by recognising volunteer efforts and assisting volunteers with their own endeavours
  • Communicates project news, progress, and available positions with volunteers on a regular basis to create an inclusive environment
  • Plan regular volunteer social activities as a ‘thank you’ and to encourage a sense of community

People Management: This role involves managing volunteers on a day to day basis

Key relationships - internal: All ministries and colleagues involved in the Hub project, Hub Manager

Key relationships - external: Local volunteering groups community groups and other agencies.

 


Essential Skills, Knowledge and experience

  • Committed to the vision of the LYN Hub
  • Excellent attention to detail and strategic thinker

  • Excellent written and oral communication skills

  • Ability to use Microsoft office packages to a high standard (particularly MS Excel & Word)

Desirable Skills, Knowledge and experience

  • Working knowledge of Crawley, it's neighbourhoods and other volunteer organisations.

Work Expectations

  • Mon-Fri: Standard Hours 9am-5pm (pro rata) (working days to be negotiated upon appointment)
  • Attendance to management meetings on Tuesdays
  • 25 days holiday per annum pro rata
  • 3-month probationary period
  • Fixed contract until December 2021
